Intake and Administrative Coordinator
As an Intake and Administrative Coordinator, you will play a critical role in ensuring a smooth, respectful, and efficient experience for our patients and their families. This position is central to the coordination of patient admissions and discharges, as well as the day-to-day administrative operations of the Transitional Care Unit (TCU). You will support clinical and operational teams by ensuring documentation, billing-related administration, and policy compliance are completed accurately and in accordance with organizational and legislative requirements.
Shift Details
- Location: Main Office (In-person role; travel to Kitchener TCU required)
- Pay Range: $22.00 – $25.00 per hour
- Shift Timing: Between 7am to 7pm (7.5 hours)
- Schedule: Every other weekend and rotational coverage required
Key Responsibilities
- Coordinate and facilitate patient intake and discharge processes in a timely, professional, and compassionate manner.
- Collaborate with clinical and operations teams to ensure a seamless and empathetic admission experience.
- Serve as a primary point of contact for patients and families, responding to inquiries and providing clear information regarding services and care processes.
- Support operations by coordinating schedules and assisting with shift coverage as required.
- Maintain accurate and up-to-date administrative records, including documentation required for reporting, analytics, and billing purposes.
- Complete billing-related administrative tasks and ensure documentation meets organizational and regulatory standards.
- Support overall TCU administration by monitoring adherence to organizational policies, procedures, and operational guidelines.
- Identify concerns, risks, or gaps and escalate issues appropriately to clinical leadership or management.
- Ensure all administrative practices comply with privacy, confidentiality, and legislative requirements.
- Travel between the Kitchener Transitional Care Unit and the main office as required to support operational needs.
- Commit to working every other weekend and rotational shifts to ensure continuity of care and administrative coverage.
Requirements
- Strong communication skills with a demonstrated commitment to exceptional customer service.
- Sound critical thinking and problem-solving abilities.
- Effective interpersonal skills and the ability to collaborate with multidisciplinary teams.
- Comfort working with administrative systems and standard office technology.
- Willingness and ability to travel between the Kitchener TCU and the main office.
- Availability to work every other weekend and rotational shifts.
- Valid driver’s license with a clean driving record.
